English for Work Emails: Polite Phrases for Requests, Leave and Follow-ups

Meanings in:

Writing an email to your manager or a client can take a long time when you're unsure of the right words. Good work emails are short, polite and clear. Here are ready-to-use phrases for starting, asking, applying for leave, sharing files and following up, plus a sample leave email, with meanings in Tamil, Telugu and Hindi.

Starting your email

I hope you're doing well.நீங்கள் நலமாக இருப்பீர்கள் என்று நம்புகிறேன்.మీరు బాగున్నారని ఆశిస్తున్నాను.उम्मीद है आप ठीक होंगे।
I'm writing to ask about the training schedule.பயிற்சி அட்டவணை பற்றிக் கேட்பதற்காக எழுதுகிறேன்.ట్రైనింగ్ షెడ్యూల్ గురించి అడగడానికి రాస్తున్నాను.मैं ट्रेनिंग शेड्यूल के बारे में पूछने के लिए लिख रही हूँ।

Tip: use "Hi + first name" for colleagues you know, and "Dear + Mr/Ms + surname" for someone senior or new. Avoid "Respected Sir", which sounds old-fashioned in emails.

Asking for something

Asking for leave

I'd like to take leave on Friday for a family function.குடும்ப விழாவுக்காக வெள்ளிக்கிழமை விடுப்பு எடுக்க விரும்புகிறேன்.కుటుంబ వేడుక కోసం శుక్రవారం సెలవు తీసుకోవాలనుకుంటున్నాను.पारिवारिक कार्यक्रम के लिए मैं शुक्रवार को छुट्टी लेना चाहती हूँ।
Meena will handle my work while I'm away.நான் இல்லாதபோது மீனா என் வேலையைப் பார்த்துக்கொள்வார்.నేను లేనప్పుడు మీనా నా పని చూసుకుంటారు.मेरी गैरमौजूदगी में मीना मेरा काम संभालेंगी।

Following up and ending

5 common email mistakes

I am having fever, so I want leave.I have a fever, so I'd like to take sick leave today.
Kindly do the needful.Could you please approve my leave? (say exactly what you need)
Please revert back.Please let me know. / I look forward to your reply.
PFA.Please find the file attached.

"I am having fever" என்பது தவறு; "I have a fever" என்று எழுதுங்கள். "PFA" போன்ற சுருக்கங்களை மேலாளருக்கோ வாடிக்கையாளருக்கோ எழுதும்போது தவிர்த்து, முழு வாக்கியமாக எழுதுங்கள்.'I am having fever' తప్పు; 'I have a fever' అని రాయండి. మేనేజర్‌కి లేదా క్లయింట్‌కి రాసేటప్పుడు 'PFA' లాంటి సంక్షిప్త రూపాలు కాకుండా పూర్తి వాక్యం రాయండి.'I am having fever' गलत है; 'I have a fever' लिखें। मैनेजर या क्लाइंट को लिखते समय 'PFA' जैसे छोटे रूप न लिखें, पूरा वाक्य लिखें।

A sample leave email you can use

Subject: Leave request for Friday, 16 October

Hi Ravi,

I'd like to take leave on Friday, 16 October, for a family function. I'll finish the sales report by Thursday evening, and Meena has agreed to handle any urgent work while I'm away.

Could you please approve my leave? Please let me know if you need anything else.

A good work email has a clear subject, one main request and a polite ending. Change the names and dates, and keep it to 4–6 short sentences.
